Gmail 2-Way Email Sync
Users can connect their personal Gmail accounts and sync outgoing and incoming emails between the High Leads Pro system and their personal Gmail accounts. They can use their email accounts to send, receive, and track emails.
The sync will be established between both platforms when an email thread is initiated from the High Leads Pro system (first outbound message). All the subsequent emails in the thread will sync between both platforms.
Steps to connect
- Go to Settings > My Profile in the General tab and locate the section Email (2-way sync)
- Select Gmail Two Sync and hit Connect.
- It will then prompt you to choose one of the available Gmail Accounts in that browser or ask you to connect a Gmail account; select the one you need; connecting a new account will require you to enter that account's credentials in the popup that shows up.
- Connecting it will then ask you about which permissions you are allowing LeadConnector to have on your Gmail account; make sure to allow all and then hit enable continue:

How does the 2-way sync work between High Leads Pro and your email account?
- You would need to send an email to a contact from the High Leads Pro to initiate the sync between both platforms.
Please note:
The first outbound email needs to be initiated from the High Leads Pro to establish the sync.
Auto BCC Sync:
- Navigate to Settings
- My Profile and copy the value in the field and add this to your CC or BCC field when sending an email from Gmail/Outlook to automatically add this conversation and contact to High Leads Pro
Note: The 'Auto bcc address' will be populated in the message details card under the 'bcc field' to provide users with clear visibility.
Note:
You may receive a "Delivery incomplete" error from Gmail when using BCC addresses. This occurs because we use BCC for logging purposes, and Gmail doesn't get a delivery receipt for BCC addresses.
Despite the error, your message might still be successfully posted to High Leads Pro.
- Now you sync their inbound emails from any existing contact directly when 2-way sync is connected.
- You can also create a contact and add the conversation seamlessly when sending an email from Gmail.
- Outgoing emails sent will be reflected in the users’ Gmail sent folder, and vice versa maintaining a complete record of the correspondence.
Existing Contacts:
- Sync Emails in Assigned Contacts: Incoming emails to users’ Gmail accounts from any existing contact (who is assigned to the user) will be automatically imported
- Sync Emails to and from Unassigned Contacts: Users can now receive inbound emails into the High Leads Pro from contacts who are not assigned to any specific use
- Support for Multiple Contact Emails: Users can seamlessly sync all inbound and outbound emails between their email accounts and any of a contact's email addresses, whether it's their primary email or an alternate one.
Limitations
- In case there are multiple contact recipients while sending an email from the user’s Gmail, the conversation will be populated only for the first contact.
- In case an account allows duplicate contacts, the conversation will be populated on the first created contact.
- Forwarded emails from a user to a contact will now be reflected under the corresponding contact's conversation.

The sent email will show up in the sent inbox of the integrated Gmail account:
All subsequent messages in the email thread (initiated from the High Leads Pro) will be in sync. Outbound emails from your email will reflect in the High Leads Pro and vice versa.
Please Note:
The supported attachment size limit for Gmail Two-way sync is 25 MB.
Update Email:
This helps users change their connected email ID to another without disconnecting the previous connection.
New outbound emails from High Leads Pro will start syncing with the newly added email address. Upcoming messages in the previously connected email ID will stop syncing between High Leads Pro & personal email.
Disconnect Email:
This helps users to disconnect their connection and stop the sync with__CompanyName. Post disconnect, emails or messages will not sync between both platforms.
Does Two-way sync only work with individual emails or bulk emails and workflows?
How the sender domain mapping works for different types of emails:
Individual Email: On connecting a personal email account (Gmail), the Gmail email ID will be considered the sender domain for the emails the user sends for individual emails. Individual emails are sent directly from Gmail when 2-way sync is activated for the user. Be aware that Google sets a limit of 500 emails daily, which applies to this functionality.
Bulk Email: This will continue to be sent from the account level email provider. 2-way sync won't affect this.
Workflow & Automation: In terms of automated emails, they are not sent from the 2-way sync but dispatched from the defined account level providers. This arrangement seamlessly integrates your automated High Leads Pro workflows and the email dispatch system.
Please Note:
With this setup, users can leverage the 2-way sync for their one-on-one emails while also successfully sending bulk emails. The Gmail-imposed limit of 500 emails per day applies only to individual emails, so users can send bulk emails via LeadConnector/SMTP without worrying about reaching this limit. This is a thoughtful design feature, allowing users to conduct mass email campaigns without being constrained by Gmail's daily email cap.
FAQs
What happens when emails come from existing contacts?
Any emails you get from existing contacts will show up in both High Leads Pro and your Gmail. This way, you can see all your messages in both places.
If I stop linking my email account, will my old emails disappear?
No, your old emails won't go away if you disconnect your email account. The emails that were already there will stay, but any new emails won't be shared between your High Leads Pro and Gmail anymore.
Will new emails be shared between the High Leads Pro and my email after I disconnect the account?
No, once you disconnect, any new emails won't be shared between your High Leads Pro account and your email. However, anything that was already shared before you disconnected will stay as is.
Will all the existing contacts in Gmail get added to High Leads Pro automatically?
Yes, the Two-Way Sync identifies and syncs existing contacts from Gmail to High Leads Pro. Incoming emails from these contacts are automatically populated under the respective contact, but past emails (before the integration being connected) cannot be synced over.
What happens when I get a new email from a contact?
When a contact sends you a new email, it will show up as a new message in both High Leads Pro and your Gmail. If it's part of an ongoing conversation, it will be added to that conversation.
What about emails I send from the High Leads Pro or Gmail?
Any emails you send from the High Leads Pro will automatically be saved in the Sent folder of your email. Similarly, any emails you send from your Gmail will be visible in High Leads Pro under the contact you sent it to.
What about when emails have cc or bcc recipients?
If an email has other people cc'd or bcc'd (copied), this info will also be shown in High Leads Pro under the contact's details. No new contacts are made just for these cc'd or bcc'd emails.
What if someone includes me in an email to someone else?
If someone sends an email and includes you, that email will show up in High Leads Pro linked to that person, keeping the whole conversation together.
How does High Leads Pro handle emails to multiple people?
If an email is sent to several people, the first person listed will be the main contact for the conversation in High Leads Pro. All replies will be added to this conversation.
What if the same contact exists in multiple locations for the same synced email address?
Email originating from High Leads Pro will be reflected only in the respective location. Subsequent replies and communication should also be specific to that location. However, emails from a contact to High Leads Pro user should be reflected in all locations.
What's Auto Bcc Sync?
Auto Bcc Sync is a feature that lets you automatically add emails to High Leads Pro when you send them from Gmail. You just use a special email address to bcc (blind copy) or cc (copy) when sending, and it adds everything to the High Leads Pro account for you.
What if I change my Gmail password?
If you change your Gmail password, you'll need to log in again through High Leads Pro to keep everything working.
What about forwarded emails?
If you forward an email to a contact, it will count as a sent email in the High Leads Pro account under that person's contact.
What if multiple contacts have the same email?
If an email is sent to several contacts with the same email address, the email will be linked to the contact that was added to High Leads Pro first.
